Member Services Lake House Representative (seasonal)

Job Description:

This position’s primary responsibility is to support Lake House operations. This position is a part of a team that provides administrative support, customer service, event coordination and marketing/sales support to Association members, staff, and the general public while working at the Lake House.  This position works with program managers to market, advertise, monitor, and sell Association programs, services, and facility rentals. This position has special and specific focus on our Lake House and works under the general supervision of the Member Services Manager.

 


  Essential Duties and Responsibilities:



  1. Provides a high level of customer service to internal and external customers. Maintains a professional work environment, work space, and appearance.

  2. Participates in the coordination of Lake House bookings and reservations, provides venue tours and sales support to prospective customers, acts as on-site event coordinator assisting rental customers, contracts, security, set-up/break-down of all equipment and furniture for events and meetings, and adequate coverage during rentals. Ensures cleanliness and orderliness of the kitchen/pantry; i.e., cabinets, appliances, dinnerware, supplies, etc. Keeps pantry well stocked with supplies.

  3. Maintains Lake House to create an inviting and informative visitor area with information displays, including flyers, magazines, etc. related to Association programs, services, and events and Association merchandise.

  4. Plays a primary role in marketing and securing renters at the Lake House to meet or exceed revenue goals

  5. Provides coverage to the Lake House and Member Services as needed; responds to requests for information from members in person, by telephone, and electronically; and greets Association visitors adhering to all customer service standards established by the Association in fulfillment of these tasks.

  6. Conducts over-the-counter transactions, including registration for programs and special events; facility rentals; collects program, service and assessment fees.

  7. Reconciles daily sales reports, and opens and closes the Lake House and Member Services in accordance with established procedures.

  8. Provides administrative support including the preparation and processing of regular, bulk, and certified mailings; document scanning, duplication and assembly; word processing; filing; data entry; spreadsheet and form development; and database management

  9. Assists in the distribution of incoming mail and notifies staff of receipt of express mail and package deliveries on a daily basis in accordance with established procedures.

  10. Maintains lobby to create inviting and informative visitor areas with information displays, including flyers, magazines, etc. related to Association programs, services, and events and Association merchandise.

  11. Participates in the coordination of bookings and reservations, security, set-up/break-down of AV equipment, and adequate coverage during rentals. Ensures cleanliness and orderliness of conference center kitchen/pantry; i.e., cabinets, dinnerware, supplies, etc. Keeps pantry well stocked with supplies.

  12. Represents the association at community events. Ensures distribution of welcome packets to new members, realtors, apartment complexes and visitors.

  13. Supports Communication & Community Engagement department activities through involvement & participation, including Expo, community meetings & events and cluster/neighborhood outreach.

  14. Ability to maintain regular and reliable attendance, and abide by established policies and procedures.

  15. Performs other duties and tasks as assigned.

Minimum Qualifications:


Education & Experience:High school diploma or GED plus a minimum of two years of progressively responsible experience in an administrative, customer service or sales capacity; or equivalent combination of related education and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.


Computer Skills:To perform this job successfully, an individual should have knowledge of Microsoft Office applications (specific solid knowledge of Outlook and Excel).
